Email Delivery

AD FastReporter Pro can send report results by email — either manually from the results view or automatically as part of a scheduled task. This requires SMTP server configuration.

Configuring SMTP

Before sending emails, configure your SMTP server in Settings → Email:

Setting Description
SMTP server Hostname or IP address of your SMTP server (e.g., smtp.office365.com, mail.example.com)
Port SMTP port number (typically 25, 465 for SSL, or 587 for STARTTLS)
Use SSL Enable for encrypted connections (required by most modern mail servers)
Email from The sender address that appears in the “From” field
Default email Default recipient address used when no specific recipient is specified
Username SMTP authentication username (if your server requires authentication)
Password SMTP authentication password

Click Test to verify the settings by sending a test email to the default recipient.

Sending from the Results View

After generating a report, click the Email button in the results toolbar. Choose one of four delivery formats:

Plain text — The report data is formatted as readable text directly in the email body. Each record is listed with field names and values. Suitable for quick checks where the recipient doesn’t need a file to import.

CSV attachment — The report is exported as a CSV file and attached to the email. The email body contains a summary with the report name and record count.

XLSX attachment — The report is exported as an Excel file and attached. Best for recipients who want to work with the data in a spreadsheet.

HTML attachment — The report is exported as a formatted HTML file and attached. Useful when the recipient wants a printable or browser-viewable version.

The email is sent to the default recipient configured in Settings. You can change the recipient in the email dialog before sending.

Email in Scheduled Tasks

Scheduled tasks can send emails automatically after each report generation. When creating or editing a task, check Send reports via email on the Email tab and configure:

Email format — Same four options as manual sending: plain text, CSV attachment, XLSX attachment, or HTML attachment.

To — Primary recipient email address(es). Separate multiple addresses with semicolons.

CC — Carbon copy recipient(s).

Subject — Email subject line. You can include variables that are replaced at send time.

Body — Email body text. You can include variables for dynamic content.

Click Customize email form to open the full email editor where you can configure all of these fields.

Email Variables

The email subject and body in scheduled tasks support variables that are replaced with actual values when the email is sent:

Variable Replaced with
{REPORT_NAME} Name of the report form
{RECORD_COUNT} Number of records found
{DATE} Current date
{TIME} Current time

The default email body includes the report name, record count, and a note that the email was automatically generated by AD FastReporter Pro.

Extra Line Breaks Option

In Settings → General, there is an Extra line breaks in task emails option. When enabled, the plain text email format adds additional spacing between fields within each record, making the email more readable when there are many fields. When disabled, the format is more compact.

Troubleshooting Email Issues

If emails fail to send:

  • Check the log panel (or debug logs for scheduled tasks) for the specific error message
  • Verify SMTP settings: server address, port, SSL setting, and credentials
  • Ensure the SMTP server allows relay from your workstation’s IP address
  • If using Office 365 or Google Workspace, you may need to use an app password or configure an SMTP relay connector
  • Test the connection from the Settings → Email panel using the Test button
  • For scheduled tasks, ensure the run-as account has network access to the SMTP server
